CLASS TITLE: ADMINISTRATIVE AND ACCOUNTING ASSISTANT
SALARY RANGE: $56,821 – $79,769
STATUS: FULL-TIME, BENEFITTED
MINIMUM QUALIFICATIONS: Graduation from a college with an A.A. degree and four years of administrative experience; a high school diploma and ten years of administrative experience; or equivalent combination of training and experience. General familiarity with accounting practices and procedures is required. At the discretion of the Executive Director, general and specified experience can be substituted for education.
KNOWLEDGE AND SKILLS: Excellent knowledge of Microsoft Office 365 (Word, Excel, Teams, SharePoint and Outlook); proficiency with QuickBooks; ability to process documents in Adobe Acrobat Pro DC; and scheduling appointments/updating calendars. Excellent written and verbal communications skills. High level of organization skills with the competence to multi-task in a fast-paced environment. Payroll and Accounts Payable experience a plus.
NATURE OF WORK: This is a high-level administrative assistant position requiring professionalism, discretion and good judgment. Employee handles routine phone inquiries, when necessary, and processes and routes incoming mail. Employee performs administrative and accounting support duties requiring good judgment, promptness and the ability to prioritize work assignments with minimal assistance. Work also includes preparing documents, drafts, and reports in addition to performing routine clerical duties; managing and maintaining files, records and correspondence; overseeing mail deliveries, packages and courier services; organizing and maintaining conference rooms; purchasing of certain office supplies; scheduling appointments; and assisting the Accounting Manager and/or Staff Accountant with accounts payable, invoicing, payroll and audits. Work is performed in accordance with general organization policy, but the employee is allowed latitude for exercising initiative in developing work methods and procedures and is expected to carry assignments to completion with minimal supervision for the administrative duties, and supervision, as needed, for the accounting support duties. Provides efficient support to staff members and management team.
